1.     What information do we collect?

Personal information you may choose disclose to us

Generally, you are not required to provide information about yourself when you use the Services. You can browse most of our websites and view our content anonymously (except regarding some information like location and IP address that may be captured by Google Analytics). The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make and the products and features you use. We may collect limited data from public databases, marketing partners and other outside sources.

We may obtain information about you from other sources, such as public databases, joint marketing partners and from other third parties. Examples of the information we receive from other sources include: social media profile information, marketing leads and search results and links. The information retrieved from these other sources are governed by the Privacy Policy of the company providing it.

2.     How do we use your information?

Information you give to us. We will use this information:

  • participants in our events unless they have asked us not to do so

  • those who enquire about our events and/or publications unless they have asked us not to do so

  • those who have subscribed to one or more of our publications or newsletters

3.     Information sharing and disclosure

We only share information with your consent, to comply with laws, to protect your rights, or to fulfill business obligations and inaccordance with this Privacy Policy.

a)    Information sharing with third parties related to delivery and technology services

Examples of third parties related to delivery and technology services that we may share your information with after your specific consent to do so include:

  • Constant Contact (goal: communicate new products and services with users)

  • Google Ads Remarketing (goal: retargeting)

  • Cvent/RegOnline (goal: user account registration and authentication)

  • Google Analytics and Google Ads (goal: web and mobile analytics)

  • GoDaddy and Squarespace (goal: website hosting)

  • Analytics and search engine providers that assist us in the improvement and optimization of our site. With their consent provided during speaker registration, personal data of conference speakers including name and image may be placed on Lychee Group event websites and indexed by search engines, for example Google

  • Professional organizations involved in the provision of services for the event contracted for, such as, for example hotels, venue owners, event service providers

b)    Information sharing with business partners

Examples of business partners that we may share your information with after your specific consent to do so include:

  • Suppliers and sub-contractors for the performance of any contract we enter into with them or you.

  • Event sponsors and exhibitors - If you are a delegate, we may share your information with event sponsors and exhibitors who may contact you in relation to special offers, products and services related to your role within your company.

We may also disclose your personal information to third parties:

  • In the event that we sell or buy any business or assets, in which case we will disclose your personal data to the prospective seller or buyer of such business or assets.

  • If Lychee Group is acquired by a third party, in which case personal data held by it about its customers will be one of the transferred assets.

  • If we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our terms of use and other agreements; or to protect the rights, property, or safety of Lychee Group, our customers, or others.

Correcting, Updating or Removing Your Personal Information

Lychee Group will make every attempt to keep your personal data accurate, complete and up to date. If your personal information is incorrect, changes or if you no longer wish to receive information from us, we will endeavour to correct, update or remove your data as swiftly as possible. You can choose to opt out at any time by using the ‘Unsubscribe’ button in the footer of our emails, or email your request to privacy@lycheegroup.com.

4.     Is your information transferred internationally?

We may transfer, store and process your information in countries other than your own.

The data we collect from you is stored in the United States. If you are accessing our Services from outside United States, please be aware that your information may be transferred to, stored, and processed by us in our facilities and by those third parties as set forth above in this Privacy Policy with whom we may share your personal information, in United States, China, Japan, United Kingdom, Germany, France, Netherlands and other countries.

By submitting your personal data, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and where necessary will put in place suitable contractual controls with other controllers and processors with whom we may share such personal data in accordance with this Privacy Policy.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorized access.

5.     Records retention

We keep your information for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless otherwise required by law. This period will vary depending on your interactions with us. For example, where you have paid to attend a conference with us, we will keep a record of your payment for the period necessary for invoicing, tax and warranty purposes. We may also keep a record of correspondence with you or where recorded via telephone (for example if you have made a complaint about a conference) for as long as is necessary to protect us from a legal claim.

Please note that where you unsubscribe from our marketing communications, we will keep a record of your email address to ensure we do not send you marketing emails in future.

6.     Security

Lychee Group aims to protect your personal information against loss, misuse and unauthorized access, through organizational and technical security procedures. Please note, any data transmission or storage cannot be guaranteed to be 100% secure. As a result, while we strive to protect your information and privacy, we cannot guarantee or warrant the security of any information you disclose or transmit to the Services and cannot be responsible for the theft, destruction, or inadvertent disclosure of your information. You should only access the Services within a secure environment.

We also, as part of our updating procedures, ensure that any personal information no longer needed by us is either destroyed or modified so that you can no longer be identified.

7.     Information collection from minors

Our site is directed at an adult audience and we do not knowingly collect information from or market to children under 18 years of age.

By using the Services, you represent that you are at least 18 years old. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. 8.     Your rights

If you are a resident of the EU, we will collect and process personal information about you only in situations where we have legal bases for doing so under applicable laws of the EU. You may also have certain rights in relation to your personal information, which include:

  • request access to and obtain a copy of your personal information

  • correction of your personal information if it is no longer accurate

  • restrict or object to the processing of your personal information in certain circumstances

  • withdrawal of your consent for your personal information

At all times you have the right to ask us not to process your personal data for marketing purposes. We will inform you (before collecting your data) if we intend to use your data for such purposes or if we intend to disclose your information to any third party for such purposes. You can exercise your right to prevent such processing by checking certain boxes on the forms we use to collect your data. You can also exercise this right at any time through your contact preference center in the footer of marketing emails you may receive from us.

Our Services may, from time to time, contain links to and from the websites of our partner networks. If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data to these websites.

You may also have the right to complain to the Information Commissioner (if you are in the UK) or to your local data protection authority for your member state if you are in the EU.

If you are a resident of The People’s Republic of China, you consent that any personally-identifiable information you provide to Lychee Group will be used and processed in accordance with this Privacy Policy and stored on Lychee Group’s servers in the United States. You also consent to such information being processed and onward transferred to Third Parties as set forth by Lychee Group in accordance with this Privacy Policy.

9.     Do-Not-Track features

Some web browsers, mobile operating systems and mobile applications include a “Do-Not-Track” (“DNT”) feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. Because of differences in how web browsers incorporate and activate this feature, it is not always clear whether users intend for these signals to be transmitted, or whether they even are aware of them.  Because there currently is no industry standard concerning what, if anything, websites should do when they receive such signals, we currently do not take action in response to these signals. If and when a final standard is established and accepted, we will reassess how to respond to these signals. In some cases, third parties may be able to collect information about a user’s online activities over time and across different websites when he or she uses our Services.

10. Changes to this Privacy Policy

Lychee Group reserves the right to add to, modify, update or amend this Privacy Policy from time to time. When we post changes to this Privacy Policy, we will revise the “Last Updated” date at the top of this Privacy Policy and will post such addition, modification, update or amendment on all our websites. We encourage you to review this Privacy Policy frequently to be informed of how we are protecting your information. Any such addition, modification, update or amendment will be effective immediately upon posting to the websites. Your use of any portion of our websites or using any of our services after any changes will constitute your consent to and acceptance of such changes.
